ʔakisq̓nuk First Nation (″ʔAFN″) is a member Community of the Ktunaxa Nation. ʔAFN exists for the Community. We are looking for a full-time Medical Office Assistant to join our team. Reporting to the Clinical Lead (RN), this position supports the Health Center team, as well as other ?AFN care professionals by performing a wide variety of clerical and administrative tasks. These include scheduling appointments, word processing, bookkeeping, accounting, photocopying, filing, answering the phone, and written correspondence.
Note: This position is full-time with a set weekly schedule.
The primary responsibilities include:
· Greet patients and visitors to the clinic in a culturally sensitive and welcoming manner and collect and verify demographic information and update records as necessary.
· Assist patients in completing health history and intake forms.
· Prepare examination rooms, set up and maintain medical supplies and equipment for all examinations and procedures; and ensure instruments are cleaned and sterilized.
· Schedule, coordinate, and confirm office appointments, check-ups and physician referrals.
· Responsible for the clinic’s full schedule, including booked, walk-in virtual or home visit appointments, or meetings with physicians and specialists regarding patients.
· Maintain and organize patient medical records in compliance with privacy and confidentiality standards.
· Assist in the digitization and management of electronic health records.
· Processing referral letters, which would include formatting, editing, editing for spelling and grammar, conciseness and accuracy, sending and follow up.
· Perform office administration duties, including receiving, logging, sorting, and distributing incoming and outgoing electronic mail, taking telephone messages, and faxes; answers telephone; and arranges for patient travel, referral tracking, courier pickup and deliveries.
· Responsible for management of patient travel clerical duties.
· Complete and process accurate medical insurance and other claims, medical billing (as per third- party billing guidelines), and electronic claims, incorporating correct coding procedures, and reconcile all billings.
· Other duties as required.
Qualifications:
· Completion of a Medical Office Assistant Certificate or other health-related field (or additional relevant experience)
· 2 – 4 years of previous relevant experience is required
· Experience working with First Nations / Indigenous communities is an asset
· Knowledge of language, history and culture of the ʔakisqnuk band is an asset
· Ability to act efficiently and effectively in crisis situation
· Strong communication skills, both written, verbal and listening
· Strong customer services skills when working with community members
· NOTE: A criminal check and vulnerable sector search will be conducted on the successful applicant
