Medical Office Assistant/Receptionist

We are a leading physiotherapy clinic in the heart of Kitsilano and are looking for a part-time Medical Office assistant to work in a busy health care environment. We are looking for someone with at least one-year experience working an office setting; preference will be given to those who have used the Jane software. We are looking for an active, passionate, high energy individual to join our clinic team.

Status/Schedule:

·Part-time shifts will be Saturday 8:30 am to 4:00pm and some coverage from Monday to Friday coverage; Clinic hours are from 8:00 am to 7:00 pm Monday to Friday; Saturday 9 am to 3pm.

Must be available to work Saturdays plus have some weekday availability.

· $19 to $21 per hour

Duties Include:

Front Reception:

· Greet patients professionally and promptly

· Booking new patients in the clinic and answering questions they may have regarding seeing a physiotherapist

· Follow-up with patients regarding re-booking their appointments

· Providing a pleasant experience for patients

· Answering all patients phone calls during a shift, respond to voicemails and emails immediately

Electronic Medical Records & Billing

· Schedule patients using the JaneApp

· Ensure patient intake forms are completed

· Complete billing to 3rd party insurers, ICBC, WCB

· Ensure patients have completed necessary forms for direct billing

· Follow-up with insurance companies for appropriate payment

· Receive private patient’s payment i.e. credit card or debit

Physiotherapist Support

· Clean treatment rooms before and after patients

· Remove heat or modalities from patients at the end of treatment

· Clean and sterilize all equipment following the clinic’s Covid-19 protocols

· Escort patients to their treatment room and be sure they have completed appropriate Covid-19 screening questionnaire

· Monitor clinic supplies, weekly ordering and tracking receiving supplies

· Ability to work as part of a team to assist therapists as needed

· Organizing and tidying the office

Requirements of the position:

· MOA certificate preferred

· Preference for candidates with previous experience in a physiotherapy clinic or an allied health clinic

· Excellent communication skills both written and verbal of the English language

· Strong proficiency with computers, including Microsoft Office, EMR

· Ability to quickly learn new software and technology

· Able to multi-task in a busy environment while ensuring customer service

· Must have Saturday availability
