Office Administrator & Bookkeeper (Durham Region) - Our Client, Summers&Co (S&CO) is seeking an experienced Office Administrator & Bookkeeper to optimize S&CO's administrative operations and financial management, ensuring efficiency, compliance, and support for their mission-driven activities.
Responsibilities
Working out of the company's office location in Oshawa, ON, the Office Administrator & Bookkeeper will be responsible for the following:
Administrative and Bookkeeping Tasks:
  • Efficiently manage the administrative email inbox, serving as a primary point of contact for internal and external communications.
  • Ensure all invoices are compliant with our formatting standards, collaborating closely with contractors for accuracy.
  • Utilize Smartsheet for invoice management, coordinating approvals with the Construction Manager and Project Manager before processing in QuickBooks Online (QBO).
  • Oversee accounts payable, including check printing, e-Transfers, EFT, and Visa payments.
  • Perform month-end reconciliations and prepare key financial reports for team review.
  • Collaborate with the Project Manager and Quantity Surveyor on invoice compliance, holdbacks, and correct application of costs, with provided training as needed.
Executive Assistant Tasks:
  • Manage office visitors, ensuring a warm welcome while maintaining office security.
  • Handle the main phone line, screening and directing calls appropriately.
  • Organize travel arrangements and manage calendars for the leadership team, ensuring smooth operation of their schedules.
  • Take concise meeting notes, capturing key decisions and action items.
Requirements:
  • Demonstrated bookkeeping experience, with a solid understanding of financial processes.
  • Proficiency in MS Office, especially Excel. Familiarity with Smartsheet and QBO considered a strong asset.
  • Knowledge of construction accounting principles, including holdbacks and cost classification, is highly advantageous.
  • Exceptional attention to detail and organizational skills, capable of managing multiple tasks efficiently.
  • Strong communication skills, able to liaise effectively with team members, contractors, and vendors.
  • A team player attitude, eager to contribute to a mission-driven organization.
