About the Position:
We are seeking a motivated Office Coordinator to support our Ottawa office team and field staff. The ideal candidate will possess strong organizational and communication skills, as well as being well-versed in computer software including Microsoft Suite, with the ability to multitask. The Office Coordinator will be responsible for day-to-day office coordinating tasks, general reception (answering and triaging phone calls, providing general information from inquiries), invoices, booking accommodations, ordering office supplies and more. The ideal candidate will be integral to the functionality of the Ottawa office, ensuring streamlined day-to-day operations while working closely with the Executive Assistant.
Responsibilities:
- Greet office guests while presenting the company in a respectable manner through excellent communication
- Respond to all incoming phone calls and emails during business hours
- Provide general administrative and clerical support
- Maintain company credit card by loading receipts, assigning transactions to appropriate accounts and verifying charges
- Maintain paper filing system as well as back-up electronic filing systems
- Prepare correspondence and documents
- Coordinate items for shipping
- Create purchase orders, matching invoices for payment
- Provide support including managing calendars, meetings, appointments, booking travel and accommodations for office management and other offices as required
- Assist with inventory control, as well as monitoring and procurement of supplies and equipment
- Complete weekly office errands
- Assist with ordering items and catering for office staff
- Assist with planning and coordination of office and team events
Experience, Skills & Competencies:
- Knowledge of administrative and clerical procedures
- Excellent oral and written communication skills
- Strong attention to detail
- Ability to maintain focus while working in a distracting environment
- Proficiency in computer software for word processing, spreadsheets, email, etc. and Microsoft Office Suite
- Strong organizational skills with the ability to exercise independent judgement
- Experience in office administration considered an asset
- Post-secondary education considered an asset
