Position Summary:
The Production Administrator is responsible for the tracking, inputting, and communicating of production resources as it pertains to yard personnel. Heddle is currently experiencing an unprecedented period of growth, and as such, the Production Administrator will play a pivotal role ensuring the organization of Heddle’s labour resources in relation to projects and their work scopes.
Responsibilities:
- Time Tracking & Reconciliation (50%):
- In ADP and Microsoft Business Central systems, ensuring the accuracy of Heddle’s Time and Attendance system by assigning the appropriate job and task codes to employee hours worked, recognizing and correcting any errors/discrepancies in employee timecards, and correcting/inputting missing information when required.
- Working with Finance and Production teams, ensuring that all upcoming work scopes have an associated job code in Business Central system.
- Responsible to collect paper timecards from Yard Supervisors at the end of the day.
- Responsible to allocate the job and task in Business Central for each hourly employee based on information received from Supervisors for the previous day.
- Responsible to reconcile hours in both ADP and Business Central systems daily using Power BI.
- Responsible to approve time cards in ADP.
- Coordinate, track, and communicate the movement of any Heddle employees as they are allocated from one yard to another.
- Production Planning (50%):
- Supporting Production Management, Facilities, and Logistics with the day-to-day activities related to scheduling within and between these departments.
- Working with the Finance and Project Management teams, ensuring that all work being performed has assigned job code.
- Working with the Production Manager, determine all requirements/changes in the allocation of the Skilled Tradespeople and Labourers to Projects and yard initiatives.
- Updating, posting, and communicating the next day’s Manning Sheet.
- Assist with forecasting future labour requirements, recognizing potential surpluses or deficits, and suggesting the appropriate response to Operations and Human Resources.
- Handle queries related to project status, milestones, work instructions, and deliverables.
- Address queries pertaining to the availability, procurement status, specifications, and usage of materials, parts, and equipment
- Investigate and resolve quality-related queries, including concerns about defects, non-conformities, and quality assurance processes.
- Proactively identify opportunities to enhance query resolution processes and contribute to continuous improvement initiatives.
- Provide any other general assistance with production administration.
Qualifications & Experience:
- Post secondary education in Construction Project Management, Engineering Technologist, or a related field
- 3+ years of experience in a similar field; preference will be given to those with experience in the Marine Industry
- Experience with ADP, Power BI, Business Central or other Time & Attendance systems an asset
- Proficient in Microsoft Office; comfortable using Excel to manipulate, organize, and present data
- Strong organizational skills, with a strong attention to detail
- Effective verbal and written communication skills
- Ability to be assertive and proactive in driving initiatives and problem-solving
- Proclivity to self-start, demonstrating the ability to take initiative and work independently
