What will you do at TPH?
The Receptionist is a key role as an energetic first point of contact for TPH by greeting everyone whether it’s in person or on the telephone by welcoming and directing them appropriately, leaving a positive impression.
- Answer and manage inbound telephone inquiries, e-mail, inbound/outbound mail, and any in-person inquiries from clients, business partners and other parties.
- Keep accurate information and up to date contacts in Outlook, and create groups for correspondence
- Assist with coordination and prepare for meetings, conference calls, training and events, including arrangement of logistics, meeting space, communications and catering, providing reminders as needed
- Maintain a master corporate calendar
- Produce professional quality reports, presentations, briefs and correspondence
- Create engaging content for social media and respond to comments in professional manner
- Maintain security, telecommunications systems and basic computer troubleshooting
- Develop and carry out efficient documentation and filing systems for electronic records
- Ensure adequate supplies of office stationery and other equipment; reorder as necessary
- Update and maintain company accreditations and memberships
- Produce professional-quality reports, presentations and briefs
- Handle confidential and non-routine information and facilitate communication between appropriate department and outside organizations
- Contributes to team effort by accomplishing related results as needed
What You’ll bring?
- Fluently bilingual in French and English is a necessity
- College Diploma in Business Administration or a related field is considered an asset
- Excellent customer service skills
- Strong planning, and time management skills
- Exemplary organizational, problem-solving analytical skills
- Ability to manage multiple demands, work independently and meet deadlines
- Expert knowledge of MS Office applications and web applications; technology troubleshooting capabilities a plus
- Strong communication skills, written and verbal, to all levels of an organization including executives, vendors, clients and employees
