Position Overview:
As part of our new home Sales team, your responsible for supporting the Sales Representatives with the administrative function of the residential project and contributing to an outstanding purchasing experience.
In order to accommodate our clients, the sales office is open:
Monday to Friday: 12:30pm to 7:00pm
Saturday & Sunday: 10:30am to 5:00pm
Our Sales Administrators will be available these office hours and required to start half an hour prior to the sales office opening, with two weekdays off.
Key Functions & Duties:
Responsibilities of this position include, but are not limited to:
- Assist Sales team by preparing agreements of purchase and sale, amendments, and legal documentation
- Process agreements of purchase and sale, purchaser deposits, mortgage letters, lawyer’s details, and purchaser information
- Responsible for reviewing all paperwork prior to submission to ensure accuracy
- Record sales and maintain purchaser database using CRM software, internal software, and MS Excel
- Audit purchaser information and sale details monthly
- Daily interaction and correspondence with Head Office, Sales, and Marketing team regarding sales updates
- Assist with electronic correspondence
- Follow up with purchasers regarding outstanding items
- Work efficiently in a fast-paced environment and during project launches
- Maintain an organized filing system
- Maintain office inventory and order supplies, receive correspondence
- Open/close sales office and model homes
- Greet/register clients, answer telephones, and respond to email inquiries
- Prepare brochure packages for realtors and clients
- General reception duties
- Ensure office is tidy and organized
- Responsibilities and essential functions may be modified at any time depending on business needs
- Post-secondary education preferred
- Background in Pre-Construction, Real Estate or an Administrative role is an asset
- Experience with CRM software (i.e., Salesforce) is an asset
- Proficiency using Microsoft Office and Outlook
- Excellent skills using MS Excel
- Strong administrative, time management, and organizational skills
- Close attention to detail and ability to work in a fast-paced team environment
