Job Title: Shipping and Receiving Office Coordinator
Reports to: Shipping and Receiving Office Manager
Location: Nuggett Court, Brampton, ON
Shift: Require flexibility. 10:30 PM – 6:30 AM to start (Sunday-Thursday)
Position Summary:
The Shipping and Receiving Office Coordinator will be primarily responsible for scheduling inbound carrier loads, updating the inbound database with appointed times for carrier arrivals, maintaining documentation, directing truck drivers, handling carrier/customer paperwork, and answering emails from carriers and customers.
The Shipping and Receiving Office Coordinator is required to multi-task in a fast-paced environment to keep up with the pace of the business. The shipping and Receiving Office Coordinator will provide support to the Warehouse Supervisor and to management’s commitment to food safety, quality, and compliance with appropriate laws, regulations, and standards.
Responsibilities
- The responsibilities for this position include but are not limited to the following:
- Work on multiple programs throughout the shift, including WMS, Windows Outlook, Microsoft Teams, and Excel.
- Follow safety guidelines ensuring the safety of the operations.
- Communicate via email and phone to inter-company customers and external customers.
- Handle and prepare transport Bill Of Ladings, customs paperwork, and Canadian Food Inspection Agency (CFIA) documents.
- Direct truck drivers to doors and assign documentation when completed.
- Coordinate inter-company inventory transfers and shipping opportunities.
- Review requirements daily and track the transportation and distribution of inventory.
- Schedule inbound and outbound carrier appointments to meet targeted inventory needs.
- Answer emails from carriers and customers. File and document emails for backup for carrier notifications.
- Provide and update spreadsheets for detention requests.
- Identify priority offloads to meet customer orders to avoid detention costs.
- Check all scheduled orders to ensure the ship date matches the scheduled date and follow up with the Customer Success Team to make changes where necessary. Update the inbound database with scheduled appointments, notification dates, and any quality recalls or notifications.
- Import, coordinate and receipt of inbound load. Submit paperwork to the warehouse and work with the Warehouse Supervisor and Business Processes team to resolve any issues.
- Print pick-up sheets and ensure all orders have been printed in Opendock.
- Pre-receive orders and proactively complete items to relieve the next shift where possible.
- Attend to duties and projects as assigned by the Manager or his/her delegate.
- Standard administrative duties including filing, restocking, packing paperwork for storage.
Academic/Education Requirements:
- High School Diploma or equivalent.
- Additional Certification and/or Designation is an asset.
Required Skills/Experience:
- 1-2 years in a warehouse and distribution center.
- Excellent oral and written communication skills.
- Proficient with Microsoft Office applications.
- Accurate and detail oriented.
- Ability to prioritize workload and works well under pressure.
- Proven ability to manage multiple tasks simultaneously and meet deadlines.
- Excellent organizational and interpersonal skills.
- Ability to maintain confidentiality.
