The Special Events Coordinator will provide administrative support to the Sales & Special Events Managers while creating unforgettable experiences for our Guests!
*Please note this position requires weekend availability*
Duties and Responsibilities:
- Provide personalized and exceptional guest service at every given opportunity.
- Works closely with the Conference Service & Special Events Manager to ensure details are completed for all events.
- Works with outlets to finalize all details of function.
- Details meeting with client in order to upsell/finalize details for their event
- Prepares billing estimate based on contract and reviews with Conference & Special Events Manager
- Create Banquet Event Orders (BEO’s) for small and cross property events under 20 people.
- Handles all walk-ins and inquiries.
- Is on site for co-coordinated events.
- Input rooming lists into Maestro once receive by Conference Service Manager
- Review and balance client’s files for accuracy; ensuring everything is billed correctly. This is determined from point of contact through operational processes to the actual client invoice and account setup in the A/R subledger.
- Record and reconcile sales in Maestro under the events to ensure revenue is posted accurately
- Review Food & Beverage actualized revenues to determine variances from original estimates provided to the client.
- Having a thorough knowledge of Lais Hotel Properties’ products and services.
- Suggesting additional product and services meeting our Guests’ specific preferences.
- Assessing Guests’ individual needs to meet standards for additional products and services.
- Actively seeking ways to meet Guests’ product or service needs.
Professional Requirements:
- Excellent communication skills both oral and written.
- Good computer skills at intermediate level in word processing.
- Knowledge of computer programs such as Maestro, Microsoft Word and Excel an asset.
