Position Summary
The Office Coordinator will support all non-academic activities, functions and day-to-day operations on the Port Hope campus to enhance the overall Student Experience. Responsibilities will include front-line support to triage students, respond to a variety of inquiries in-person/emails and scheduling appointments by supporting the student or redirecting to other Loyalist College student supports and services. The incumbent will support all departments within the Students portfolio with coordinating all Port Hope event logistics and support facilitation of programming and events that contribute to an inclusive College culture, enhances student’s well-being, student engagement, student satisfaction and student leadership development by monitoring student workers hired to support events. In addition, this role will support and collaborate with our Marketing Department by preparing student communications, create event promotions and registration, social media content and photos.
Duties and Responsibilities
The incumbent will support all non-academic activities, functions and day-to-day operations including:
- Front-line support and triage of students responding to issues and requests by providing general and specific information in response to in-person, telephone, and email inquiries and scheduling appointments/meetings for students meeting with staff
- Ensures students are aware and have an understanding of College policies and procedures
- Reconciles receipts and invoices ensuring they adhere to College policies
- Submits and tracks Top Desk service requests
- Maintains department files and records
- Track and report student worker payroll hours
The incumbent will support all departments within the Students portfolio with event logistics including:
- Liaise with department leads
- Plan, schedule, and initiate all logistics related to hosting and facilitating activities and events including: transportation requests, catering, room bookings, etc. on campus and within community
- Collaborate to create and design programming and events including developing of resources and presentations
- Attend, support delivery and facilitation of programs and workshops promoting awareness and engagement
- Develop measurable tracking of activities/events to determine effectiveness and retention
The incumbent will support with marketing and promotions including:
- Continuously collaborate with Marketing department weekly to understand and respond to their marketing needs and requirements
- Prepare student communications, newsletter content, event promotions and registration, social media content and take required photos
- Develops, produces, and distributes marketing materials aimed at promoting services to students
Qualifications
- Completion of a two (2) year diploma in Business Administration or related discipline
- Minimum of two (2) years’ experience in an office environment with a good understanding of student life and event management
- Advanced knowledge and experience with MS Office Suite including Word, Powerpoint, Canva and Excel, database management systems
- Aptitude/Ability to work with relevant College systems and databases
- Organization, time-management, multi-tasking and priority settings skills for busy office with constant interruptions
- Ability to work both co-operatively, to accomplish joint tasks and build positive working relationships, be self-directed to work independently and coordinator projects
- Effective client management skills including the application of initiative and problem-solving skills
- An ability to apply an understanding of diversity and inclusiveness to meet the needs of a diverse student population
