The Volunteer Coordinator coordinates the volunteer program at Trinity Village Care Centre by determining the home’s volunteer needs and the financial resources required to support the volunteer program; providing volunteer program evaluation; and coordinating the recruiting, screening, orientation, training, evaluation, and recognition of volunteers.
This is a part-time (24 hours per week), unionized position.
TASKS & DUTIES:
· Develops, implements, and evaluates all volunteer related policies and procedures and legal compliance
· Develops a marketing plan for the recruitment of volunteers, including the production of written informational and educational materials
· Conducts volunteer screening, interviews, and facilitates their orientation/training
· Develops orientation/training package for all volunteer roles
· Maintains volunteer program records, applications, reports and CQI statistics in a secure setting
· Maintains records of volunteers training through Surge Learning software
· Monitors volunteer performance and compliance with roles, responsibilities, and policies through communication with volunteers and staff, observation as appropriate, and formal evaluation processes.
· Directly coordinates the placement of all volunteers
· Implements appropriate performance measures and initiates discipline and termination in conjunction with Trinity Village policies
· Maintains an accurate and updated database of all volunteers
· Develops SMART goals for the volunteer department, reviews them quarterly and annually
· Prepares a monthly volunteer department report, Annual Review of department, as well as Volunteer Wellness Surveys
· Organizes volunteer recruitment and recognition events, volunteer fairs as well as large scale and special seasonal events for volunteers.
· Replies to general inquiries from staff, volunteers, and the public regarding volunteer opportunities available at Trinity Village
· Research community opportunities to nominate Trinity Village volunteers for Volunteer Service Awards
· Establishes relationships with community partnerships such as Volunteer Action Centre, local universities, colleges, and high schools
· Actively participates in the Waterloo Region Volunteer network group meetings (online or in person)
· Collaborate with other Volunteer Coordinators from other long-term care/retirement communities in the region
· Coaches and assists volunteers in a variety of care approaches, and skills that will help with their interactions with residents
· Collaborates with a multi-disciplinary team to gain current and specialized information regarding each resident, care approaches, and possible available resources
· Actively participate in team meetings, organizational objectives, committees, and special events
· Maintain professional standards and certification as required for the role of Volunteer Coordinator through continuing education and professional development
· Participates in the weekly programming team meeting
· Complete all mandatory training as assigned (Surge Learning)
· Other duties as assigned
QUALIFICATIONS:
- Post-Secondary education in Volunteer Management
- Minimum 2 years experience working as a Volunteer Coordinator, preferably within the Long-Term Care/retirement home/healthcare sector
- Knowledge of volunteer management in a not-for-profit setting, preferably long term care, including recruitment, training, orientation, recognition and appreciation
- Computer skills required, experience with a volunteer database system would be considered an asset
· Demonstrates positive person-family centred values and practices
· Strong communication skills and ability to communicate in a non-stigmatizing way
· Excellent interpersonal skills and ability to work as an effective member of an interdisciplinary team
· This position requires some evening and weekend work
Trinity Village Care Centre requires all new hires to submit a valid TB test, mandatory proof of flu vaccinations, and Vulnerable Sector Police Check prior to start date.
