Scope
The Accounts Payable and Administrative Support is responsible for processing Accounts Payable transaction, maintaining accurate financial records, and providing Administrative Support to various departments within the organization.
Responsibilities
- Process Accounts Payable transactions, including verifying invoices, matching purchase orders, and ensuring timely and accurate payments.
- Maintain accurate and up-to-date Accounts Payable records, including vendor information, invoices, and payment details.
- Reconcile vendor statements and resolve any discrepancies or issues.
- Assist with month-end closing activities, including preparing accruals and reconciling Accounts Payable balances.
- Assist with the preparation of financial reports and analysis as needed.
- Provide Administrative Support to various departments.
- Coordinate and schedule meetings, appointments, and travel arrangements for team members.
- Prepare and distribute correspondence, memos, and other documents as required.
- Maintain office supplies and equipment inventory, and place orders as needed.
- Assist with special projects and other duties as assigned.
- Participate in the Social Committee.
- Adhere to all company policies, procedures, including safety, and quality requirements.
- Other duties as assigned.
- Post-secondary education in a related field (i.e., Accounting, Finance, Business)
- A minimum of 2 plus years of experience
- Proven experience in Accounts Payable or a similar role
- A high degree of proficiency with Microsoft Office
- Experience utilizing an ERP system (Microsoft D365 is a plus)
- Knowledge of Accounts Payable processes and procedures
- Excellent data entry skills and demonstrated ability to calculate, and post, correct accurately
- Customer-service approach dealing with internal and external stakeholders
- Ability to maintain excellent accuracy, organizational skills, and attention to detail
- Excellent written and verbal communication skills
- Ability to be flexible and a sound work ethic
- Must possess a high-level of moral judgement for handling confidential information and financial transactions
- Strong diplomatic, negotiation, and conflict resolution skills
- Sounds analytical thinking, planning, prioritization, and execution skills
- Strong work ethic and positive team attitude with the ability to work independently and/or as part of a team
- Multi work environment, (manufacturing, production, warehouse, research and development, office) requiring the use of PPE
- Full-time hours (40 hrs a week)
- Bending, sitting, standing, kneeling, and walking
- Travel is not required for this position
