Working to promote Bethesda’s values, vision and mission statement, the Coordinator, Accounts Payable will report to the Supervisor, Finance and is responsible for performing accounting tasks related to the efficient maintenance and processing of Accounts Payable transactions. This position involves verifying invoices, processing payments, reconciling vendor statements and maintaining accurate records of Accounts Payable activity.
KEY RESPONSIBILITIES
- Verify that purchase requests are charged to the proper accounts and departments with appropriate approvals.
- Enter invoices into accounting software and ensure payments are made in a timely manner according to company policies and procedures.
- Post and reconcile cheques, bill payments, pre-authorized payments, wire transfers and EFT payments to general ledgers.
- Sort, deliver and mail information including cheques and remittance advices, and match cheques to paid invoices for signing.
- Identify errors or discrepancies and resolve before processing.
- Prepare petty cash reconciliations and disbursements.
- Prepare credit card reconciliations.
- Assist external auditors in obtaining supporting documentation and answering questions promptly.
- Respond to vendor and colleague inquiries and escalate issues, as needed.
- Maintain filing and recording systems.
- Identify process improvements and efficiencies.
- Comply with Bethesda policies and procedures relating to health and safety.
- Responsible for reporting all health and safety concerns immediately following the Internal Responsibility System.All other duties necessary to support the Finance team, as assigned.
QUALIFICATIONS
- Post-secondary education in Accounting or relevant field is preferred
- Minimum two (2) years of experience in Accounts Payable
- Proficient with QuickBooks Accounting Software or other accounting software.
- Experience working within a multidisciplinary team.
- Proficiency in Microsoft Office, especially in Microsoft Excel
- Valid Driver’s License.
