We are a Japanese food manufacturer and distributor, and are currently looking for a motivated and outgoing part-time HR Assistant.
Report to, and assist, HR Supervisor in all facets of department work
Hiring
- Prepare advertising, candidate search
- Prepare new worker set up, including agreements, update files
- Organize, conduct new worker orientation
Termination
- Organize, prepare paperwork, update files
Monitoring
- Organize, prepare and do HR related monitoring, update of files, records including attendance, company medical benefits, WCB related requirements
- Discipline, assist in necessary capacity including investigations, interviews
- Assist in preparations of evaluations, follow up
- Organize, prepare and conduct full time orientations
- Assist in onboarding training of company employees and staff, follow up in regards to HR related matters
- Report any injuries to department manager or supervisor and first aid attendant
- Report any food safety issues to department manager or supervisor and QC department
Reception / Hospitality
- Assist front line reception with telephone calls, greeting visitors
- Organize announcements, notices related to HR
- Organize, prepare guest’s reception including hotel reservations, pick up / drop off, meals if necessary
- Organize birthday gift, gift distribution, other company functions if necessary
Payroll
- Organize, prepare and do if necessary payroll (and time tracking) system maintenance including trouble shooting
- Organize, prepare payroll submission
- Organize, prepare pay stubs, timesheets
- Organize, track vacation, sick leave, banked time etc
- Assist in year end preparations, as well as preparation, distribution of T-4s
Policies, Procedures, Projects
- Conduct research of HR related and special projects
- Assist in policy, procedure making and implementation
There will also be tasks related to Planning and Corporate Affairs involved as well. Those tasks include, but are not limited to, the following:
Agreements, Letters,
- Assist department title holders and staff in reviewing, revising existing agreements, and documents, as well as assisting in creating new documents
- Filing, updating of company documents, records, etc.
Policy, Programs, Projects
- Assist department title holders and staff in reviewing and revision of existing programs, company wide policies and assist in establishing new policies, programs
- If necessary do project related research, drafting, and monitoring.
Liaison, Communications
- Assist department title holders and staff with initiating announcements, actions, programs for both internal and external activities and projects
- Report any injuries to direct department supervisor or manager or assistant manager and first aid attendant
- Report any food safety issues to direct department supervisor or manager or assistant manager and QC department
PRE-REQUISITES, KNOWLEDGE, SKILL REQUIREMENTS
- Able to communicate well in English (speaking, reading, writing)
- Communication abilities in Japanese would be a bonus
- Proficient in usage of computers, Word, Excel with ability to use e-mail, such as Outlook.
- Good calculation skills
- Time management skills
- Good research skills
- Prior administrative / office administration experience would be a bonus
- Able to display initiative and ability to help drive completion and achievement of department projects and targets

This is a part-time opportunity (about 20 hours per week, Monday to Friday) and we will try to work around the person's work availability.
Job Types: Part-time, Permanent
Salary: $19.00-$21.00 per hour
Expected hours: 20 per week
