Kleanza Consulting Ltd., with offices in Terrace, Prince Rupert, central Vancouver Island, and Vancouver seeks an exceptional Invoicing and Administrative Assistant for a permanent full-time position based out of our Bowser office.

``Duties```
- Create and process invoices for projects each month
- Following up with clients regarding outstanding invoices
- Organize, scan and file receipts and invoices as well as manage physical and electronic accounting files
- Maintain and organize the accounting email account and address both external and internal inquiries in a timely manner
- Track and invoice project-chargeable disbursement costs relating to our vendors and partners
- Issue fee and expense invoices in an accurate and timely manner
- Updating annual budget with monthly actuals
- Working with Senior Archaeology Manager and Operations Manager to review staff timesheets
- Preparing agendas and attending meetings to record minutes
- Providing support and training to staff on Software System Wrike
- Booking travel arrangements for staff members
- Coordinating the purchase of supplies, when required
- Helping with data entry in our project management system
- Assisting with the coordination of equipment, facilities management, and IT projects
- Performing general administrative duties as required including, but not limited to, data input, photocopying, scanning, collating, printing reports, ordering supplies or equipment and assisting in coordinating meetings and special events
```Skills```
To be successful in this role, you should possess the following skills:
- Entry level to two years related work experience, preferably in a professional services/consulting firm environment
- Previous experience supporting an accounting or finance function or school coursework in accounting or finance
- Expert knowledge of Microsoft Office suite and Adobe
- Excellent communication and written skills
- Ability to meet deadlines and work in a fast-paced environment
- Strong time management skills and ability to take initiative
- Ability to manage data and information in an organized way
- Familiarity with project management software
- Interest in heritage resource management and conservation
- Interest in building relationships with First Nations and other communities
The following is desired but not required:
- Familiar and proficient with Wrike software
- Experience working in an environmental/natural resource company office
- Experience working on contract-based projects
- Experience with RBC Express
- College or university degree or certification
