Job description

We are looking for an Administrative Assistant to support a busy Real Estate team. A great candidate for this position would be self-motivated, team-player, driven, have great organizational skills, ability to multitask, works well under fast paced environments, can work under pressure, and is happy to help others. You will be responsible for administrative duties, as well as, (but not limited to) other duties as described below.

**After office hours & some time on the weekend is necessary for this job**

Location: Newmarket, ON

Job Type: Full time, Permanent

Qualifications:

  • Minimum 2 years of administration experience is required
  • Previous Real Estate experience is highly preferred
  • Candidate must have access to their own vehicle
  • Experience with Canva is preferred
  • Superior customer service skills, including excellent telephone manner
  • Ability to follow checklists & Manage time & priorities
  • Thinking proactively
  • Outstanding communication skills (written and verbal)
  • High level of initiative and the ability to multitask
  • Ability to work as part of a team and independently
  • Strong analytical skills and attention to detail
  • Position requires some errands to be completed using own vehicle
  • Experience with TRREB is preferred (searching, uploading listings)
  • Experience with Webforms/Skyslope is preferred (preparing forms)
  • Working knowledge of Microsoft Office (Word, PowerPoint, and Excel). Email and internet
  • Proficient in Social Media (Instagram, Facebook)

Responsibilities:

  • Preparing marketing materials & having them mailed out
  • Preparing client gifts
  • Helping in preparation for client events
  • Preparing & posting social media posts
  • Preparing Real Estate amendments/waivers and offers
  • Coordinating property listings such as booking / coordinating / scheduling photographers, stager, sign installation, etc.
  • Co-ordinating or installing / removing signs and lockboxes
  • Organizing and maintaining calendar / schedule
  • Maintain CRM/Data Entry
  • Managing client relationship tasks
  • Managing emails and forwarded calls
  • Assisting with agents’ day to day task management including but not limited to, running errands, picking up marketing materials etc.

Job Type: Full-time

Salary: $22.00-$26.00 per hour

Expected hours: 35 – 44 per week

Schedule:

  • Day shift

Work Location: In person
