Job description

Full-Time Executive Assistant

This position is to prove support to a Real Estate Team. You will be responsible for administration, as well as, (but not limited to) other duties as described below.

Minimum of 1 year of Real Estate experience is preferred and wage will be based on experience.

Candidate must have access to their own vehicle.

Location: Newmarket, ON

Job Type: Full-time, Permanent

  • Monday – Friday, 9:00 am to 4:00 pm
  • Looking for a candidate who is flexible, has a strong ability to multi-task and stay organized.

Responsibilities:

  • Following & maintaining checklists for daily, weekly & monthly tasks assigned
  • Preparing Real Estate listing paperwork, amendments, waivers and offers
  • Booking appointments and following up with showing feedback – following up where required
  • Co-ordinating listing property set-up and preparation, such as booking / coordinating / scheduling photographers, Stagers, etc.
  • Co-ordinating or installing / removing signs and lockboxes
  • Maintain CRM/Data Entry
  • Managing client relationship tasks; i.e., Ensuring all required documents are collected and correctly completed
  • Managing emails
  • Using Canva Pro for marketing materials & social media posts
  • Assisting with agents’ day to day task management including but not limited to, running errands, picking up marketing materials etc.

Qualifications:

  • Minimum 3 years of administration experience is required
  • Previous Real Estate experience is highly preferred
  • Superior customer service skills, including excellent telephone manner
  • Outstanding communication skills (written and verbal)
  • High level of initiative and the ability to multitask
  • Ability to work as part of a team and independently
  • Strong analytical skills and attention to detail
  • Minimum high school education, with a preference to college level courses/diploma
  • Experience with Stratus MLS is preferred (searching, uploading listings)
  • Experience with Webforms is preferred (preparing forms)
  • Working knowledge of Microsoft Office (Word, PowerPoint, and Excel). Email and internet
  • Proficient in Social Media (Instagram, Facebook, LinkedIn)
  • Experience with Canva Pro is preferred.

Must have own vehicle and valid G license

Salary: $18.00-$24.00 per hour

Expected hours: 35 – 40 per week
