Full-Time Executive Assistant
This position is to prove support to a Real Estate Team. You will be responsible for administration, as well as, (but not limited to) other duties as described below.
Minimum of 1 year of Real Estate experience is preferred and wage will be based on experience.
Candidate must have access to their own vehicle.
Location: Newmarket, ON
Job Type: Full-time, Permanent
- Monday – Friday, 9:00 am to 4:00 pm
- Looking for a candidate who is flexible, has a strong ability to multi-task and stay organized.
Responsibilities:
- Following & maintaining checklists for daily, weekly & monthly tasks assigned
- Preparing Real Estate listing paperwork, amendments, waivers and offers
- Booking appointments and following up with showing feedback – following up where required
- Co-ordinating listing property set-up and preparation, such as booking / coordinating / scheduling photographers, Stagers, etc.
- Co-ordinating or installing / removing signs and lockboxes
- Maintain CRM/Data Entry
- Managing client relationship tasks; i.e., Ensuring all required documents are collected and correctly completed
- Managing emails
- Using Canva Pro for marketing materials & social media posts
- Assisting with agents’ day to day task management including but not limited to, running errands, picking up marketing materials etc.
Qualifications:
- Minimum 3 years of administration experience is required
- Previous Real Estate experience is highly preferred
- Superior customer service skills, including excellent telephone manner
- Outstanding communication skills (written and verbal)
- High level of initiative and the ability to multitask
- Ability to work as part of a team and independently
- Strong analytical skills and attention to detail
- Minimum high school education, with a preference to college level courses/diploma
- Experience with Stratus MLS is preferred (searching, uploading listings)
- Experience with Webforms is preferred (preparing forms)
- Working knowledge of Microsoft Office (Word, PowerPoint, and Excel). Email and internet
- Proficient in Social Media (Instagram, Facebook, LinkedIn)
- Experience with Canva Pro is preferred.
Must have own vehicle and valid G license
