Who we need
We are seeking aReceptionist/Administration, EarlyOn to join our Early Years Child Care Services team. You will support the Associate Director in the day-to-day operation of the EarlyON, nurturing a joyful, safe learning environment for children, coordinate all incoming queries, and ensuring a high level of service delivery and compliance with all regulations and legislated standards. This is a contract full time position (35 hrs/week).

You are currently an Administrative Assistant in a Child Care Centre looking for working in a well-established organization.

As our new Receptionist/Administration, Early Learning Centre in Toronto, you will:
- Respond to inquiries and communicates with clients and families in a timely manner regarding programs or redirects to appropriate managers or staff.
- Registers individuals for workshops, processes clinical reports and takes minutes at meetings as required.
- Receive and greet visitors in a courteous and professional manner, making them feel welcome and comfortable and provides routine information/literature as requested by interested parties.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Answer phone calls as required.
- Maintain room bookings, staff weekly schedule.
- Administer and maintain CMS, including client files.
- Receive, date, stamp, document, distribute, record and mail all outgoing mail and incoming mail.
- Fill copiers and fax machines with paper & toner as needed.
- Keep copy area stocked with stationary & supplies.
- Assist and develop mail merges (i.e. Database, Form Letters, Mailing Labels, etc.).
- Creating files and general office filing.
- Miscellaneous projects as assigned by management.
- Assist Accounts Payable including coding of vendor number to invoices for processing.
- Maintain inventory of office supplies and obtain approval from supervisor to place orders.
- Adheres to agency policies, procedures and practices.
- Perform other duties as assigned.
What you bring:
- The practical knowledge. You have a College Diploma or equivalent combination of education and experience. You posses a minimum of two (2) years reception/administrative experience.
- The technical skills. You have strong knowledge with MS Office Suite and CMS applications
- The interpersonal skills. You have flexible communication skills, exceptional listening skills and mental attentiveness. You can manage conflict, negotiate, and influence without authority. You can gain trust and display empathy and patience. You are detailed oriented, highly creative and organized. You prioritize treating everyone equally and have a respect and appreciation for individuals and families with diverse backgrounds and experiences.

Compensation: $47,762 per annum plus $4% vacation pay.
