DESCRIPTION
As a Sales & Event Coordinator, you will be responsible for two essential functions of our Sales and Marketing department: sales coordination and event coordination. Overall, this means you will be supporting the Sales & Marketing team by completing various office duties and playing a supervisory role during events. You will ensure all events that take place in our resort go smoothly and according to plan - from small social gatherings, to business conventions, and to weddings.
A successful Sales & Event Coordinator is goal-oriented, results-driver, open, and empathetic. They usually have excellent organizational skills and the ability to work with a variety of people and personalities. They also adapt to changing conditions quickly, be professional, and put together an exciting event.
Sales Coordination
- Correspond with prospects and answer any questions about the hotel’s venue options, rates, room types, venue packages, or promotions
- Generating proposals and collecting invoices
- Sending prospects emails and cold calls
- Prepare and send out sales proposals and contracts in a timely manner
- Understand customers and build company loyalty
- Play an active role in market research and data analysis
- Coordinate with other departments execute events or conferences
- Enter, retrieve, or reconcile information from the company’s CRM
- Participates in sales and marketing campaigns and networking events, including but not limited to bridal events, trade shows, and continuing education seminars
Event Coordination
- Understanding and identifying the requirements for each event
- Manage creative, technical and logistical aspects of weddings and social events as it relates to venue operations, including, but not limited to, facility tours, organizing outside vendors, and coordinating menus with the catering team and Chef
- Conducts scheduled planning meetings with groups to assist with creating menus, floor plans, rooming lists, answering general event questions, and offering upsells and recommendations as appropriate
- Interacting and keeping healthy communication and interactions with clients and vendors
- Do final checks on the day of the event (e.g. tables, technology) to ensure everything meets standards
- Closely communicates with client/guest throughout event planning and present during event
- Collects client feedback and seeks social media recommendations
- Ensure operations align with health and safety regulations and crowd management
- Notifies management immediately anytime a guest is not 100% satisfied with their experience
QUALIFICATIONS
Prerequisites
- Enthusiasm for our beautiful lakeside location in Jackson’s Point and eagerness to share that with others
- Passionate about making sure guests have a positive experience with a high level of respect to the significance and importance of each and every event
- Meet and exceed sales projections set by upper management
- Valid Driver’s License and reliable transportation
- Willing and able to work varying shifts, weekends, evenings, and holidays
- Occasional travel may be required
Required skills
- Experience with OPERA Cloud and OSEM systems
- Excellent organizational skills and an eye for details
- Outstanding verbal and written communication and presentation skills
- Experience with planning, coordinating, staging, and evaluating events
- Possess strong leadership skills with the ability to give clear, positive direction and keep staff motivated when working in a team environment
- Computer proficient with experience using Excel, Word, PowerPoint, and Outlook
- Self-starter with the ability to adapt to changing priorities
- Ability to work in a fast-paced setting and multitask without compromising quality results
- Ability to maintain a positive, polished, and professional image
- Works well under pressure and resolves challenges while remaining calm and professional
Preferred
- 2 or more years of experience working in a hotel or hospitality environment
- 2 or more years of experiencein selling events or group bookings
- 2 or more years of event planning and/or coordinating experience
- Knowledge of general wedding traditions and expectations
