Bookkeeper / Administrative Support

Golden Happiness Bakery Ltd. is a locally owned and operated business. Originally founded as a Retail Bakery in Calgary, we have grown our business and transitioned to a Frozen Food Processing Plant that distributes our product throughout Canada and the United States. Golden Happiness Bakery Ltd. is seeking applicants for a full time Bookkeeper / Administrative Support position. The ideal candidate will be a motivated and reliable individual with strong analytical, communication/interpersonal, and problem solving abilities.
Duties and Responsibilities
This position will report directly to the CEO and will require cross-functional collaboration and communication within the organization. The Bookkeeper is responsible for providing accounting support to various groups within the organization, ensuring accuracy and integrity in financial transactions, reconciliations, and reporting. In addition, communication and relationship maintenance with external vendors and customers.
The responsibilities and duties of the Book Keeper / Administrative Support will include but not limited to:
· Ensure accuracy and completeness in all financial records.
· Provide ad-hoc, weekly, monthly, and annual financial updates to required parties.
· Full cycle accounts payable including: uploading invoices to QuickBooks, matching POs, data entry, coding, cheque runs, and vendor reconciliations.
· Full cycle accounts receivable including: invoice preparation and recording, A/R follow up, A/R reporting, and daily or weekly deposits.
· Keep a detailed record of all customers, their billing information, quarterly billing updates, and rate changes.
- Other projects as requested.
- Calculate and prepare cheques for payroll.
- Keep financial records and establish, maintain and balance various accounts using manual and computerized bookkeeping systems.
- Post journal entries.
- Prepare trial balance of books.
· Complete monthly bank reconciliations in a timely manner.
· Prepare GST reconciliations and returns.
· Assist in Corporate Reporting:
· the preparation of financial reports, including income statements, balance sheets, and cash flow statements.
· Conducting financial analysis to identify trends, variances, and opportunities for improvement.
· Developing and implementing strategies to optimize cash flow and liquidity.
· Liaise with vendors and tax professionals, as required.
· Assist in year-end procedures.
· Coordinate Shipping and Logistics of Products
· Maintain Relationships with External Stakeholders
· Assist in Strategy and Planning for Business Development
· Various Projects that may include Budgeting, Capital Budgets, Writing Business Plans and Proposals
· Other duties as assigned.
Regular work hours are Monday to Friday 8:00 am to 4:30 pm with occasional weekend if required.
Education and Experience Required
· Minimum 4+ years Bookkeeping experience in a fast-paced environment.
· Accounting degree, diploma or certificate in accounting, bookkeeping or related field.
· Accuracy, attention to detail, and outstanding analytical skills.
· A positive attitude with strong customer service skills, organizational and communication skills, both verbal and written.
· The ability to work in a fast-paced, team-oriented environment is essential.
· Experience with expense report software is considered an asset.
· Attention to detail and highly motivated.
· Proficient with Software Applications such as MS Office Suites and experience with ERP Software.
· Bilingual – English and Chinese is considered an asset.
· Legally able to work in Canada.
