Job Description:
We are seeking a versatile and dedicated Bookkeeper/Administrative Assistant to join our team. The ideal candidate will have a solid background in real estate and construction bookkeeping, a strong understanding of administrative tasks, and proficiency in managing multiple responsibilities efficiently.
Responsibilities:
Bookkeeping:
- Manage financial transactions using Quickbooks and Sage software.
- Track payables, budgets, and accounts receivable/payable.
- Conduct financial analysis for annual, monthly, or project-specific financial reports.
- Oversee payroll processes and ensure compliance with regulations.
- Obtain WCB clearance letters, certificates of insurance, and other necessary documents.
- Maintain accurate records and documentation for audit purposes.
- Prioritize tasks and work effectively under pressure.
- Communicate clearly and collaborate with team members.
- Utilize Monday.com, Google, and Excel for task management and team oversight.
- Manage intercompany accounts and maintain financial controls.
Administrative Assistant:
- Provide administrative support to the Owner.
- Manage the company email inbox, prioritizing urgent matters and ensuring timely responses.
- Proactively organize and manage the Owner's calendar, maximizing the best use of time.
- Support meetings and document management, including new client setup and report generation.
- Maintain customer and client files, ensuring accuracy and completeness of documentation.
- Stay updated on technological advancements and implement new administrative procedures.
- Will be overseeing a team of bookkeepers that are remote.
- Maintain confidentiality and discretion in handling sensitive information.
Qualifications:
- Minimum 3 years of bookkeeping experience using Quickbooks and Sage software.
- Solid understanding of the construction industry and related accounting principles.
- 3-5 years of previous administrative experience.
- Proficiency in Monday.com, Microsoft Office Suite, Google Applications, and other relevant software.
- Comfortable working in a fast paced environment.
- Strong organizational skills, attention to detail, and ability to prioritize tasks.
- Excellent communication and interpersonal skills.
- Tech-savvy with the ability to adapt to new tools and platforms.
- Valid driver's licence preferred.

Responsibilities Include:
- Utilizing Quickbooks and Sage software for bookkeeping tasks, including managing financial transactions, tracking payables and budgets, and conducting financial analysis as required.
- Oversee payroll processes, obtain necessary WCB clearance letters, certificates of insurance, and other documents.
- Maintain a system of controls over accounting transactions, manage AR/AP, and prepare GST returns.
- Provide administrative support to the corporate organization, including email, calendar management and meeting coordination.
- Handle records and document support, new client setup, and report generation.
- Assist with the adoption of changes to technology, procedures, policy, including IT support.
- Evaluate and implement new administrative procedures to improve efficiency.
Qualifications:
- Certificate in Accounting, Finance, Business Administration, or related fields.
- Minimum of 3 years of experience in bookkeeping, with proficiency in Quickbooks and Sage software required.
- Solid understanding of the real estate industry and the construction accounting principles.
- Strong attention to detail, excellent communication skills, and the ability to prioritize tasks effectively.
- Previous experience in administrative support roles.
- Ability to work independently and as part of a team, with a positive attitude and willingness to learn.
