HR TFW Administrator
Ketler Farms is a joint venture operation with Nature Fresh Farms Inc. It is a 30-acre state-of-the art greenhouse facility that is committed to quality vegetable production.
We are currently seeking an applicant to join our team and fill a full-time HR TFW Administratorposition at our Farms Warehouse operations in our Staples, ON location.

Reporting to the HR Generalist, the HR TFW Administrator is a vital team member who is ultimately responsible for the Ketler Farms Temporary Foreign Worker program which covers all aspects of assisting guest workers from arrival to interim employment and finally departure.
Job Responsibilities include, but are not limited to:
- Comply with federal, provincial, and local legal requirements regarding TFW programs, anticipating new or updated legislation, enforcing adherence to requirements, and advising management on required actions. This includes coordinating Health Unit meetings and inspections, etc. if needed.
- Receive guest workers upon initial arrival to Canada.
- Assist with the development and administration of programs, procedures, and guidelines to help align the guestworker workforce with the strategic goals of the company.
- Coordinate and assist in all guestworker entry and exit requirements, including LMIAs, flights, renewing visas, insurance, and work permits if required.
- Create employee verification letters.
- Facilitate employee guestworker orientations and training as needed.
- Maintain guestworker-related information using the Human Resource database (ADP), internal systems, and use of manual filing systems.
- Coordinate with the payroll department on guest worker onboarding, offboarding and any deductions incurred.
- Coordinate regular inspections of bunkhouses with the health unit and fire department and keep approvals up to date.
- Coordinate transportation for appointments, events, and weekly shopping.
- Conduct regular internal housing inspections in coordination with the HR Generalist and Maintenance department.
- Support the PRIVA Labour Program, it’s continuous involvement with the greenhouse, and perform various detailed administrative tasks related to labour and attendance programs.
- Support the daily review of employee work and productivity data inputs to ensure information is correct.
- Ensure work activities, locations, containers etc. with Priva are entered correctly and follow up with managers and supervisors to confirm any discrepancies and correcting as agreed.
- Aid in processing activity reports for managers/supervisors on a daily/weekly basis
- Collaborate with vendors for guest worker uniform program and various industry supplies required for the overall greenhouse operation.
- Maintain Bunkhouse inventory and obtain supplies as required.
- Assist HR Generalist and managers with guestworker inquiries and complaints, report incidents, conduct investigations and meet with managers to determine effective remediation techniques.
- Assist management and supervisors through the progressive discipline process for guest workers.
- Prepare employee separation notices and related documentation and conduct exit interviews to determine reasons behind separations for guest workers.
- Translate and maintain employee files, policies, employee notices, training, and employee communication boards both within the facility and bunkhouses.
- Support HR team members with Health and Safety initiatives, general administration and company wide events as required.
- Actively initiate, participate in and support continuous improvement initiatives.
- Additional duties as assigned.
Job Requirements:
- 1+ years’ HR experience preferably with TFW Programs in a dynamic, fast-paced, high-volume environment.
- Must be proficient with Microsoft 365 applications.
- Fluency in Spanish and English is required.
- Excellent verbal and written communication skills with the ability to develop and maintain relationships of trust with individuals at all levels of the organization.
- Strong problem-solving skills required.
- Must be able to prioritize and multi-task while having strong organizational skills and attention to detail.
- Ability to manage sensitive and confidential information with tact and discretion.
- Valid driver’s license and personal vehicle are required.
Working Requirements and Conditions:
- Available to work Monday-Saturday, after hours and nights may be required at times. Flexibility with work schedule is required, especially for special events, flight arrivals/departures etc.
- Working conditions are normal for an office environment but some responsibilities require warehouse and greenhouse work (maybe cold or hot).
