Job Summary
Join our expanding and dynamic team as our Medical Office Secretary in our state-of-the-art Integrated Care Clinic! The ideal candidate will present themselves professionally, have excellent verbal and written communication skills, have computer skills, and have a proven track record of excellent customer service.
Provide comprehensive administrative support to the Executive Team, assisting in efficient office operations.
✓ Managing, registering, and scheduling patient appointments.
✓ Managing phones for a Clinical setting.
✓ Maintaining accurate patient records.
✓ Patient flow.
✓ Using an electronic medical system.
✓ Scanning, faxing, filing patient documents.
✓ Check EMR messages and reconcile daily.
✓ Ensure documentation of all interactions in patient charts.
✓ Aid with processing/recording invoices for Clinic setting daily.
✓ Maintaining office/clinic cleanliness.
✓ Ensure safe operation of the clinic and equipment within the clinic.
✓ Maintaining professionalism and confidentiality.
✓ Other office and clerical duties as assigned by Department Leads and/or executive members.
✓ Open to change and willing to take on additional responsibilities as needed.
✓ Minimum completion of relevant health-related community college program (i.e.. Community Health Services Navigation, Medical Office Assistant, Medical Secretary, etc).
✓ Proven experience in executive-level administrative roles.
✓ Strong computer skills, including proficiency in Microsoft Suites.
✓ Demonstrated ability to handle confidential information with discretion.
✓ Excellent interpersonal and communication skills.
✓ High level of attention to detail.
✓ Exceptional organization, time management and prioritizing skills
✓ Ability to work well under pressure and handle difficult situations while remaining calm.
✓ Ability to adhere to company confidentiality policies while adhering to Core Values.
✓ Adhere to COVID-19 Vaccination policies.
✓ Advanced proficiency with computers.
✓ Excellent attention to detail while multitasking.
✓ Proven experience in administrative support or a related field.
✓ Experience with electronic medical records
✓ Knowledge of medical terminology
✓ Billing
✓ Advanced knowledge of MS Suite (Word, Excel, Teams, etc) is an asset.
✓ Experience in Alayacare Program is an asset.
✓ Experience in TELUS CHR EMR is an asset.
✓ French speaking is an asset.
