The main responsibilities of the Office Manager are to ensure the smooth function of the office. The Office Manager will be a self-motivated and collaborative individual who enjoys variety in their daily activities. This person requires exceptional judgement and organizational skills, as well as the ability to work both independently and in a team environment. The ideal candidate will demonstrate a high degree of flexibility, handle complexity, and thrive in a fast-paced environment while maintaining accuracy and reliability of work performed. Most importantly, the successful candidate must be pro-active and able to anticipate upcoming needs while also managing multiple priorities. The Office Manager will supervise the Administrative and Accounting team to ensure proper office procedures are maintained and followed.
General
· Answer to General Manager or President directly
· Responsible for managing employees in Applicable dept (Front end reception & Coordinator)
· Responsible for managing, listing and scheduling job searches
· Work with Book keeper or finance director
Accounting & Finance (Not full cycle)
· Manage accounts payable and receivable processes, including invoice processing and payment collections
· Prepare and review financial reports, budgets, and forecasts for the company president
· Handle Payroll processing and ensure accurate and timely payment to employees
· Reconcile bank statements, credit cards transactions, gas cards, etc
· Manage Insurance policies, review and audit, prepare for approval
· Manage company medical plan, ensure accuracy
Office Management
· Supervise admin staff and delegate tasks as necessary to ensure smooth office operations
· Maintain office supplies and order when necessary for office and Field operations
· Maintain general upkeep and organization of office environment
· Manage contract cleaner for office and make a check list, ensure quality control
Administrative support
· Assist the president or GM in scheduling appointments, meetings, and travel arrangements.
· Prepare and distribute internal and external communications, memos, and reports.
· Organize and maintain company files, records, and documentation.
· Handle incoming and outgoing correspondence and prioritize urgent matters.
Human Resources support
· Collaborate with the HR or Dept manager to onboard new employees and facilitate the recruitment process.
· Maintain employee records and ensure compliance with relevant employment laws and regulations.
· Coordinate employee benefits and assist in resolving HR-related issues.
· Manage employee benefit or bonus plan
Technology and IT support
· Oversee office technology and IT infrastructure, ensuring all systems are functional and up to date.
· Liaise with external IT support vendors for any technical issues that arise.
· Introduce an electronic time management system for time tracking for all employees
Event Coordination
· Plan and organize company events and meetings as required.
· Do minutes of all company meetings
Job Type: Full-time
Salary: $45,000.00-$60,000.00 per year
