Our office specializes in small to mid-sized projects for clients across Canada. The types of clients we work for include:
- Heavy Industrial Facilities
- Pipelines and Refineries
- Mining and Mineral Processing
- Municipal & Utilities
- Water treatment
Your Role:
- Supporting a small team of professionals
- Being a jack of all trades and is skilled in a variety of administrative coordination
- Having a keen eye for detail and proactively comes up with solutions to make processes work better within a team environment
Responsibilities:
- Coordinate project administrative and reporting activities for the project team
- Coordinate with Project Controls and Project Manager (PM) to produce weekly and monthly written progress reports with input from the project team, assembling the following:
- Project status and issues
- Project revenue
- Accruals
- Project schedule
- Project Change Notice (PCN) Log
- Safety information (provide up-to-date client safety information to Safety Officer to action)
- Act as administrative focal point for the PM by coordinating with the Project Controls, Accounting, Document Control, and Administration Teams
- Assemble reports, memos and other documents for the PM and project leads as required, or help coordinate the completion of said documents
- Assist in the development of a process for Key Performance Indicators (KPIs) if applicable
- Collect all KPI data, collaborate with Document Control, Project Engineering, Accounting and Cost Controls and validate information in producing the KPI report quarterly
- Organize and attend team / technical meetings and take meeting minutes if required
- Assist the PM in monitoring budgets, budget forecast, invoiced amounts, and change notices on projects
- Coordinate reports, expenses, invoices, billings, etc.
- Coordinate meetings and office space for client visits
- Coordinate travel arrangements
- Work with approved formats and templates, prepares reports, forms, tables, PowerPoints, spreadsheets and correspondence
- Perform other administrative and clerical duties or assumes additional responsibilities as required
Qualifications:
- A Business College Certificate in Office Administration or equivalent with preferably two or more years of administrative experience
- Strong interpersonal skills with the ability to build relationships and cooperate with others
- Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
- Experience in an engineering environment and familiarity with engineering terminology is an asset
- Ability to work with sensitive information in a confidential and professional manner
- Ability to work as a part of a team
- Ability to apply judgment to the applications of policies and procedures
- Strong sense of urgency and ability to meet tight deadlines
- Excellent verbal and written communication skills
