As we continue to grow, we are looking for a dedicated Receptionist/Administrative Assistant to join our team.
Position Summary:
We are seeking a friendly and organized Receptionist/Administrative Assistant to be the first point of contact for our clients. You will play a crucial role in ensuring smooth operations within the office and maintaining excellent customer relationships. This position is a blend of receptionist and administrative responsibilities.
Key Responsibilities:
- Answering Phones: Professionally and courteously handle incoming calls, direct calls to appropriate team members, and provide information to callers as needed.
- Answering Emails: Monitor and respond to emails in a timely and professional manner.
- Relaying Messages: Ensure efficient communication within the company by accurately relaying messages to the relevant team members.
- Taking Payments: Accept payments from customers, issue receipts, and keep accurate records.
- Accounts Receivable: Assist in managing accounts receivable, follow up on overdue payments, and help maintain financial records.
- Appointment Confirmation: Call customers to confirm appointments for installations, servicing, or consultations.
- Data Entry: Accurately input customer information and data into our systems.
- Weekly and Monthly Tasks: Assist in completing various administrative tasks on a weekly and monthly basis, such as generating reports and maintaining records.
- Basic Troubleshooting: Help customers trouble shoot problems over the phone and by email correspondence. Provide clear, concise directions to the customer.
Qualifications:
- High school diploma or equivalent; additional education or training is a plus.
- Previous experience in a similar role is preferred but not required.
- Excellent communication skills, both verbal and written.
- Strong organizational skills and attention to detail.
- Proficient with computer applications, including Microsoft Office.
- Customer-focused with a friendly and professional demeanor.
- Ability to multitask and handle a fast-paced environment.
- Basic understanding of accounts receivable is a plus.
- Must be able to provide a clean criminal record check.
