Job Description:
Provide secretarial and administrative support to a hospital based, busy surgical practice
Experienced Medical Office administrator required for immediate start in busy pediatric surgical practice. Experience within London Health Sciences Centre is an asset. This role involves communicating with patients largely through telephone and email rather than a front desk position. Responsibilities would include booking, rescheduling and cancelling patient appointment; sorting, scanning and entering referrals into centralized system; booking patient procedures and follow-ups; and scheduling non-clinical activities for the surgeon into Outlook. There are a high volume of calls, emails and referrals in this clinic setting. A positive attitude, ability to maintain an organized and tidy office, and flexibility to accommodate patient emergencies that may require quick rescheduling are important components of this role.
The ideal candidate would have excellent interpersonal skills, enabling sensitively communicating with parents and managing expectations. They would also be extremely organized and able to balance a busy schedule with the surgeon’s competing priorities of academic and clinical tasks. Patient confidentiality and strict adherence to privacy laws are critical.
Daily start and stop times may be flexible and negotiable, but 35-40 hours weekly would be expected and required to complete necessary tasks, typically 8-4 Monday to Friday, with no expectation of weekend or after hour work. Benefits are not included in this position.
Qualifications:
- Associate degree or higher in medical/healthcare administration or related fields or 1-2 years of experience as a Medical Office administrator
- Familiarity with the medical industry and health services
- Knowledge of medical terminology
- Strong computer skills
- Excellent communication and customer service skills, with a focus on empathy and understanding
