**Job Description: Front Desk and Bookkeeping Specialist**
**Position Overview:**
We are seeking a motivated and organized individual to join our team as a Front Desk and Bookkeeping Specialist. This multifaceted role combines customer service at the Front Desk with essential bookkeeping responsibilities. The ideal candidate will possess excellent interpersonal skills, a strong attention to detail, and the ability to manage both administrative tasks and financial records effectively.
**Responsibilities:**
**1. Front Desk:**
- Greet and welcome visitors with a friendly and professional demeanor.
- Answer and direct phone calls, emails, and inquiries from clients, guests, and team members.
- Maintain a clean and organized Front Desk area, creating a positive first impression for all visitors.
- Provide exceptional customer service by addressing inquiries, resolving issues, and directing visitors to the appropriate department or individual.
**2. Bookkeeping:**
- Manage daily financial transactions, including accounts payable and accounts receivable.
- Maintain accurate and up-to-date financial records using bookkeeping software or spreadsheets.
- Reconcile bank statements and ensure accurate categorization of expenses and income.
- Prepare and process invoices, receipts, and payments in a timely manner.
- Assist in the preparation of financial reports, including balance sheets, income statements, and cash flow statements.
- Work closely with the accounting team to ensure accurate financial data entry and reporting.
**3. Administrative Support:**
- Assist with general office tasks such as filing, data entry, and document management.
- Schedule appointments and meetings, coordinating with team members and clients.
- Monitor and order office supplies, ensuring that essential items are always available.
- Assist in organizing and coordinating company events, meetings, and seminars.
**4. Communication:**
- Communicate effectively and professionally with clients, colleagues, and vendors.
- Maintain clear and concise communication through emails, phone calls, and in-person interactions.
**5. Confidentiality:**
- Handle sensitive information and financial data with the utmost discretion and confidentiality.
- Adhere to privacy and security policies to protect client and company information.
**Qualifications:**
- High school diploma or equivalent; additional education in accounting, finance, or related field is a plus.
- Proven experience in a Front Desk or customer service role.
- Basic to intermediate proficiency in bookkeeping and financial record-keeping.
- Familiarity with bookkeeping software (e.g., QuickBooks) and Microsoft Office Suite.
- Excellent interpersonal and communication skills, both written and verbal.
- Strong organizational skills and the ability to manage multiple tasks efficiently.
- Attention to detail and a high degree of accuracy in financial data entry.
- Ability to maintain a positive and professional demeanor in fast-paced environments.
- Problem-solving skills to address client inquiries and resolve issues effectively.
- Strong work ethic and reliability, with a commitment to confidentiality.
