VitaCare OBGYN is a Dynamic and well established and busy clinic that provides medical specialist ( Obstetrics and Gynecology Clinic) and Aesthetic care. The successful candidate will work as a part of the team to provide service for both clinics.
Duties:
- Greet and assist visitors, patients, and staff in a friendly and professional manner
- Answer phone calls, take messages, and direct calls to the appropriate person or department
- Schedule appointments and maintain calendars for multiple providers
- Manage and organize office files, documents, and records
- Perform data entry and update patient information in electronic systems
- Prepare and distribute correspondence, memos, and reports
- Order office supplies and maintain inventory
- Coordinate meetings, conferences, and events as needed
- Help with clinic tidiness at the start and end of the days and in between patients visits and with the sterilization of the equipments
- Being fluent in writing, speaking, and reading English is an absolute requirement for this position, as effective communication with patients, colleagues, and healthcare professionals is essential to ensure the highest standard of care and service in our Medical office. Additionally, proficiency in other languages, including Farsi, is highly preferred and will be considered a significant advantage. Multilingual abilities will enable you to provide even more comprehensive support to our diverse patient population.

- Candidates with an associate or bachelor's degree are strongly encouraged to apply. A higher level of education specially in healthcare can be a valuable asset in this role, as it often demonstrates a greater depth of knowledge, enhanced organizational skills, and a commitment to excellence in healthcare administration.
Experience:
- Previous experience as a Medical office secretary or administrative assistant especially in an Obstetrics and Gynecology clinic or in a medical Aesthetic clinic is preferred
- Proficiency in using EMR services, Google Suite (Docs, Sheets, Slides) or similar software
- Familiarity with medical procedures is a plus
- Strong organizational skills with the ability to multitask and prioritize tasks
- Excellent verbal and written communication skills
- Attention to detail and accuracy in data entry and record keeping
- Experience in managing crisis and teamwork is a plus
