Canada West Land (CWL) Reception Management 30% Allocation
- Greet and direct visitors to the appropriate staff members
- Monitor visitor sign in and review safety rules with all visitors and clients
- Receive, screen, direct and relay telephone calls and messages
- Make travel arrangements for CWL team from all offices upon appropriate requests and approvals
- Manage corporate credit card and associated expenses, while ensuring proper coding and assignment
- Support culture initiatives and events for the Calgary office
- Look proactively to improve processes, documents, and business operations as they pertain to your role
- Collaborate and coordinate with H3M Environmental Office Coordinator and leadership on office needs, ordering, reception coverage, and overall support
- Provide project specific support on an as-needed basis
Calgary Office Logistics 30% Allocation
- Order, receive, and store the office supplies and consumables to ensure that basic supplies are available
- Ensure kitchen and common areas are cleaned, stocked, and organized
- Order, receive, distribute and expense any special ordered supplies for Clients/Projects
- Prepare and send all outgoing mail and courier packages, assist with staff mail requests
Building Management 15% Allocation
- Coordinate general building maintenance and communicate to the office about changes, interruptions, or notices as needed
- Review, execute and consolidate building contracts for supplies, facility maintenance etc.
- Communicate with team on changes, interruptions or notices as needed
CWL and CARDON Executive Support 15% Allocation
- Complete expense reports for office corporate card and certain executive team members
- Support and facilitate executives with bookings, calendar management, reservations, ad hoc requests etc.
- Provide support to other members of the CWL ELT as needed
Human Resources and Safety 10% Allocation
- Basic safety responsibility as it pertains to the building
- Working with the various safety leads to ensure alignment and enforcement of policies and procedures
- Collaborate with CWL HR Administrator/Safety Professional to complete administrative duties as it pertains to maintaining records
