Falcon Homes Office Coordinator works in the background to ensure the workplace runs smoothly, promoting a positive office culture, and ensures that the individual team members are supported and ensures that employees follow the company’s regulations and policies.
Office Coordinator’s day-to-day job typically includes various tasks such as creating and implementing systems and processes, overseeing administrative operations, improving office services, implementing communication procedures, and variety of other tasks, ensuring staff members keep the office clean and presentable. The Office Coordinator is often the first-person internal employees and visitors meet, so they must be presentable and able to perform many basic customers service tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES
§ Answering incoming calls, determining purpose of call, and transferring call or taking and delivering messages to the appropriate personnel and follow up.
§ Follow established procedures for record-keeping and reporting data and messages, and assist in the preparation of correspondence, brochures, progress reports, and other company documents.
§ Help create systems, process, and procedures.
§ Coordinate and maintain communication with internal colleagues and external subcontractors and vendors to ensure work efficiency.
§ Create, organize, and maintain company files, including client files, contractor agreements, and progress reports to ensure the information is accurate and up to date.
§ Manage office calendar, schedule meetings, visits, deliveries, installations, inspections, etc.
§ Prepare, develop, and distribute meeting agendas and minutes.
§ Arrange for and coordinate travels, site visits, and special events for company staff and customers.
§ Support and assist colleagues in administrative activities such as familiarizing them with administrative policies and procedures, training them on the use of office equipment or tools, etc.
§ Track and manage inventory of office supplies such as job site materials and safety equipment.
§ Collect data, information or materials for management or professionals to support research or launch of specific projects.
§ Perform other general administrative office duties as assigned, such as filing, scanning, and data entry, and support.
§ Help with project pricing.
§ Help with the operation of marketing and innovation.
§ Health and safety management, compliance is documented, standardized.
§ Research assistance as needed.
§ Additional tasks outside the list will be required as they arise within a small business environment.

Job Type: Part Time (with possibility of full time in future)
Salary: $17 - $20 per hour
Expected hours: 15 hours per week minimum. Depending on task and projects extra hours may be needed.
Office hours 8:30 to 5pm Monday to Thursday, Friday 8:30 to 4pm. Lunch 12 – 1pm
This job requires attendance at our office for work and is not a work from home position.
