The Cognitive Corner is a growing, trauma informed and culturally responsive group psychological practice that has a physical location in Calgary, Alberta, but serves multiple provinces Canada-wide. We provide individual and group therapy, as well as psychoeducation via workshops and social media. Our goal is to contribute to the de-stigmatization of mental health, especially in Communities of Colour and strive to provide safe learning and career opportunities for students and practitioners who are passionate about inclusive mental health care.

Role Overview
We are seeking an experienced Office Coordinator (Independent Contractor) to join our team. The ideal candidate will possess strong interpersonal skills, excellent organizational abilities, and a passion for optimizing the efficiency and effectiveness of our therapy practice and a passion for delivering exceptional patient care. This role reports to the Managing Director.
Responsibilities But Not Limited To:
- Oversee the day-to-day operations of the practice, ensuring smooth workflow and optimal patient care.
- Assist with recruitment, from posting job openings to participating in interviews and assisting with onboarding new team members.
- Develop and implement efficient office processes and procedures to enhance productivity.
- Coordinate scheduling, appointment booking, and patient flow to minimize wait times.
- Ensure accurate billing and coding practices to maximize revenue and minimize errors.
- Handle sensitive and confidential information with the utmost discretion
- Provide support to clinical and administrative staff
- Foster a positive and collaborative work environment that promotes teamwork and professional growth.
- Maintain a client-focused culture by ensuring all staff members prioritize excellent customer service.
- Address client concerns or complaints promptly and implement corrective actions as needed.
- Monitor client satisfaction surveys and suggest improvements based on feedback.
- Engage in content creation collaborating with a social media manager
- Collect and organize supporting financial documentation
Education and Qualification Requirements:
- Diploma or associates degree in healthcare administration, business administration, or a similar field
- 1.5 - 3 years' experience in private practice or related field
- Strong interpersonal skills for talking to patients, healthcare providers, and insurance companies
- Excellent written and verbal communication skills
- Ability to multitask and manage time well
- Excellent analytical and decision-making skills
- Strong leadership and interpersonal skills
- Experience with Microsoft Office (Excel, Word, Outlook)
- Knowledge of healthcare regulations and compliance requirements.
- Excellent organizational and problem-solving abilities.
- Proficient in using practice management software (Jane App)
- Ability to adapt to changes in the healthcare industry
- Have a passion for inclusive mental health and people
Logistics:
- You must be based in Calgary
- Must own your own computer
- Working hours are M-F (with some Saturday expectations) pm (MST)
- This is a contract position of approximately 30 hours per week
