We are seeking a motivated individual to join our Family Health Team. An ideal candidate will have the ability to work collaboratively in a team setting to assist patients and providers.
Duties include but are not limited to:
· Performing reception related duties, responding to routine inquiries from telephone calls, visitors and staff – redirecting calls or providing routine information that may require knowledge of the organizations functions relevant to other team members, booking appointments and managing daily schedules of physicians and IHPs
· Manage program referrals for IHPs which may include scheduling appointments, triaging referrals, communicating appointments and coordinating schedules to accommodate vacancies or urgent requests
· Manage specialist referrals, which includes booking appointments and communicating appointments to patients
· Ensuring organization’s phones are answered in a timely manner.
· Responsibility for managing patient appointments thru the electronic health record (EMR).
· Responsibility to maintain proper and ongoing documentation of patient information through appropriate use of the organization’s EMR.
· Responsibility for providing excellent customer service by facilitating answers to patient questions regarding appointments, health care issues (by directing to appropriate PCP), following up on patient requests.
· Management of organizations fax system – incoming, outgoing faxes, referrals and prescriptions.
· Management of EMR by ensuring tasks, messages and faxes are attended to within established time lines.
· Management of EMR by ensuring all data entry is accurate and timely.
· Photocopying and distribution of materials, handling incoming and outgoing mail and arranging for couriers as required.
· Ensures compliance with Personal Health Information Protection Act.
Work Schedule:
- Monday – Friday, Occasional Saturdays
- 8 hour days / 40 hours per week; 4 hour day on Saturdays
- 8:00am – 4:30pm (1 hour lunch)
Experience:
- At least 1 year reception experience required, medical reception experience an asset
- Strong communication skills and excellent phone etiquette
- Computer skills - Microsoft Office, EMR (Accuro)
- Ability to multitask and work in a fast-paced environment
Education:
- Secondary School/GED (Required)
- Graduate of Medical/Office/Business Receptionist Program (Required)
