General Description
The Medical Receptionist performs various tasks at the clinic. They are the prospective patient and clinic's first contact to foster an environment that promotes patient comfort and trust. Essential duties include providing excellent customer/patient services via phone and in person. The position is considered a crucial link between the patient and the care delivered by the Practitioners. The incumbent must work collaboratively with all Clinical services staff and patients, exhibiting flexibility and a “can do” attitude. The position must exemplify the core values and mission of the organization, always exercising the utmost discretion, diplomacy and tact in patient/staff interactions.
Specific Responsibilities
- Register patient information into our Electronic Medical Record (EMR) system
- Perform other receptionist duties such as filing, photocopying, collating, faxing, scan pertinent patient information into EMR (including patient authorizations, recent lab reports, etc.)
- Answer patient questions and provide assistance and directions when necessary
- Assisting with billing at the end of the workday
- Answers the phone while maintaining a welcoming, consistent phone manner using proper telephone etiquette while providing information regarding our services when needed.
- Respond to emails and call patients for appointment reminders and rescheduling.
- Receive and sort daily mail/deliveries/couriers.
- Receive payments, record service receipts, and handle and reconcile all petty cash and insurance payments.
- Maintains patient waiting areas and front-desk areas organized and neatly.
- Keeps medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment
- Work collaboratively with nurse practitioners and staff members to ensure patient needs are met
Qualifications and experience
- Excellent talent for interacting with people positively and courteously when responding to inquiries by patients, prospective patients, and visitors.
- Ability to be resourceful and proactive in dealing with issues that may arise.
- Ability to organize, multitask, prioritize and work under pressure without compromising quality.
- Must have experience with billing procedures for private health insurance, Telus Health Portal, and HCAI.
- Must have experience with Electronic Medical Records (EMR) systems.
- 1-2 years or more of experience as a Medical Receptionist working in Primary Care
- Bilingual in English and French is preferred
